Approval of Agenda and Minutes from April 25, 2022Lisa M moved, Diana seconded to approve both minutes and agenda. No objection.

Public Comment
Blue: Some students in her online class have requested certain video features, like written script in a panel and speed forward that the 3C media cannot provide.
Cheryl: 3C media cannot handle such requests. She suggested talking with DSP&S to work with these students.
Blue: Other community community colleges are using different services that are able to provide these features. She asked if De Anza might consider using these other services.
Nomination for this year’s Equity Champion Awards. New deadline, May 13th. Information on the awards and the nomination form: deanza.edu/gov/eac/champions. Contact Denica, kellydenica@fhda.edu.
Dawn: A second instructional designer position has been approved. The current hiring committee will be hiring both positions. This will provide much needed relief for the Online Education Department.
Early Alert ask for $100To fund raffle prizes for faculty who use Early Alert this quarter.

Student Learning Outcomes (SLO) Convocation ask for $250The funds will go toward the purchase of Starbuck gift cards just like last year.
Main goal for the 2022 SLO Convocation: Faculty will get together to discuss the responses to program reviews.

Cheryl explained her decision to move the continuation of the tabled discussion from the last meeting on Senate membership from this meeting to the next week. The move will allow more time for full conversation on the differences between associate and executive members, also the changes that have occurred and are being proposed for affinity members.
Another topic for discussion in the next meeting will be an ask from the College Council. The Shared Governance Task Force has pointed out the need for training for those serving on shared governance groups. College Council has asked each constituent group to brainstorm and come up with proposals for training members to best serve on shared governance committees.
Cheryl pointed out that all faculty are members of the Academic Senate, even if they're not executive or associate numbers. Senate discussions are opened to all, not just voting members. Also, associate members can make motions, make amendments, as well as write and present resolutions.
Student Equity Plan Re-Imagined (second read)
Shagun asked if there was anything besides the equity tool kit, being developed to help faculty improve student success and equity. The plan talked about shared vision and redefining equity using research based methodology to redefine college policies.
Mallory: They have just developed best practices based on such research. They will be working with the college as a whole. Then, with departments or units to identify, implement, assess, and make changes ; will provide research.
There was a suggestion to gather and store the successes and best practices from across campus to form a community of sharing that can learn from each other.
Shagun: using program reviews as starting point as discussion

Yes 19, No 0, Abstain 4.Update on ActiveRoster from ETS
Jory Hadsell and Chieh Shih explained why ETS shut down access to records prior to the last two years in the ActiveRoster system a few weeks ago. They restored the access to all records quickly when faculty expressed concerns.
They come to the Senate to listen to faculty and to explore options for keeping the ActiveRoster system manageable while allowing faculty access to archival records. Their goal was to get the active system down to reasonable history without overloading the system.
They explained the potential impact and slow down when the whole history was kept live on the system. On high-used days like Opening Day, Census Day and times when hundreds of faculty log into the system at the same time, it may take up to 20 minutes to retrieve records.
They will be working on a separate archival system that will keep historical data in real time and easily accessible. They should be totally separate systems that won’t interfere with each other. There were also discussions regarding the cost of the archival system. They don't need tons of money but tons of people and time.
Mark suggested that the active system should parallel the duration of a student’s academic journey, about 3 to 4 years.
Gokce: typical community college student journey that leads to transfer and or graduation is 6 years, according to some statistics.
Shagun: We use the rosters to track majors in our field and send them emails on classes offered 1-2 times a quarter so they can fulfill their requirements
Mary D: Part time faculty at risk of having classes canceled have had a lot of success emailing waitlisted or withdrawn students from old rosters, going back more than 3 years. She was concerned about keeping access to the archive as well as all the information like emails, etc. They need every tool they can get to keep enrollment up, especially for part-time faculty who are being put out of work lately.
ETS will hold off taking off the records from the active system until they have a solution in place. They will not be removing that history this quarter. The transition will not be disruptive for the users. They will come back with their design for feedback on the new system.
Their team is always on duty at the beginning and end of the quarter. They asked for people’s patience as they worked out the solution..
Shagun: the guided pathway villages could be an alternative model for tracking students.
New printers and copiers
Sharon Luciw explained how to use the new printers and copiers at De Anza. She went over the User Guide, FAQ, and the Shortcut Guide
Tim suggested training for the mailroom personnel to help with the use of the copier
Division Administrative Assistants are in the process of being trained. They can also help with toners, paper, and paper jams.
Look at the campus map for the location of the nearest printer/copier.

FA negotiations updateFoothill Academic Senate Letter in Support of the Cost of Living Adjustment (COLA)
Tim: Work to Contract ended 4 days, the shortest WTC in district history.
FA will be sending out an email with details of the salary agreement.
That will also be the largest salary agreement ever negotiated in a single single session in the district.
Retroactive to July 1, 2021 The 2.5% that has been temporary will now be permanent and ongoing. The entire state COLA of 5.07% will be passed through to all employees.
Summer pay will increase from 76% of full-time to 77.5%.
Part-time credit salaries increase from 83.5% to 85% of full-time salaries.
Finally, starting July 1, 2022, our salaries will also include whatever the final 2022-23 state COLA is, less 1%. For example, if the state COLA is 6.5%, the increase will be 5.5%.
Tim thanked everyone for all the support that came from faculty, the classified, and especially the students. Students were writing to the Board and the District Senior administration.
MOU for next calendar year for teaching on campus. There will be 75% max online for full time faculty without going through other provisions.
There was confusion and discussion regarding what is considered online and on campus class. There is a difference between the college and state definition, 40% or 50%.
Alicia M had a concern for her department, which was already more online than on-campus pre-pandemic due to enrollment demands... The department offered most classes (probably about 70%) online, where the demand was... will the department be forced to offer more on-campus than the department was offering pre-pandemic? Would the department be held harmless if they don't fill? She would like to return to the pre-pandemic ratio.
Mae also has the same situation. She moved ASAM classes to online prior to the pandemic for enrollment purposes.
Faculty should work with their deans in these situations.
Report Outs and Good of the Order
Mary D: Kayak with the Outdoor Club in Monterey, Sunday, May 15. No experience necessary. Search for the Outdoor Club on the De Anza homepage for the day trip description and sign-out instructions.
Some of the students in Mary’s First Aid class never realized that their automatic garage door wouldn't open when the power went out. So their assignment for first aid after major emergency situations was to go home and figure out how to open it manually. That might be helpful preparation for the big earthquake for everyone.
